Scope of Work

The Scope of Works for "Hiring of various types of LPVs (Light Passenger Vehicles) -08 Nos. (AC Bolero - 02 No. on 12 Hr. basis, AC Innova (Crysta)- 01 No. on 12 Hr. basis, AC Bolero- 03 Nos. on 24 Hr. basis, AC Pick up Utility Vehicle -01 nos on 24 Hrs basis and 01 nos Non-AC pick up-Utility Vehicle on 12 Hrs basis for a period of Thirty Six (36) months i.e. from 01.04.2024 to 31.03.2027.

The detailed Scope as specified below:

1. Contractor shall provide a cost effective, comfortable, safe an d secure transport system to Employer’s Employees traveling to and from the office and internal movements inside the Plant.

2. The vehicle shall be diesel operated and shall comply to Bharat Stage VI (BS VI) Emission norms and well equipped with air conditioning system, music sy stem, luxurious interiors, neat and clean seat covers, air suspension, fi rst aid box, air freshener spray, reverse camera & horn and all other accessories that are required to ensure comfort of employees of the Employer.

3. The vehicle must be maintained by the Contractor in good and so und working condition, regularly serviced, daily cleaned & freshened with perfumed air freshener, maintained, and equipped with all mandatory safety requirements and fittings. Seats shall be always covered with neat and clean seat covers, the vehicle shall have good quality foot mat and good quality musi c system required to ensure comfort of the Employer’s employees.

4. Contractor must deploy vehicle an d services that are energy effi cient, less polluting, environment friendly and have ecofriendly waste disposal mechanisms.

5. The vehicle shall be equipped with following specifications/ features

a) Air Conditioning (AC) b) Tubeless tyres c) Neat and clean seat covers d) Music system. e) Provision of Mobile charger point for Passengers. f) Seat belt for every seat g) Fire extinguisher h) First Aid Box i) As per Bharat Stage VI (BS VI) Emission norms. j) GPRS tracking system in the vehicle. k) Valid Fast Tag with adequate balance in Fast Tag l) Reverse Horn & Camera m) Vintage of Vehicle- Require Brand New Vehicle, as our contract shall be for a period of 03 Years, or maximum Ageing of vehicles shall be on e (01) year and Permissible KM consideration shall be less than 50,000 KMs as on date of deployment of vehicles at site i.e. 01.04.2024.

6. The vehicle deployed by Contractor must be main tained in trouble-free working condition during the Contract Period. If the Vehicle go under br eakdown, the Contractor shall provide immediate replacement of equivalent good quality vehicle without any additional cost to the Employer.

7. No Private Vehicle shall be allowed for making the alternate arrangements. If the Contractor fails to make the alternate arrangement, then the Employer reserves the right to make the alternate arrangement. The additional cost incurred by the Employer towards making such alternate arrangement (at actuals) along with applicable penalties shall be recovered from the Contractor's monthly RA bills.

8. The vehicle shall be deployed on all calendar days of the month including Sundays and holidays during the Contract Period for 12/24 hours/day basis as per the schedule prescribed by the Employer's OIC.

9. Requirement of Vehicles

a) AC Innova (Crysta): , 12 Hrs. basis –01 No.

b) AC Bolero-7 Seater: 12 Hrs. basis – 02 Nos.

c) AC Bolero-7 Seater: 24 Hrs. basis – 03 Nos.

d) AC Pick up 5 Seater: 24 Hrs. basis – 01 No.

e) Non AC Pick up 5 Seater: 12 Hrs. basis – 01 No.

10. Deployment of Driver

 For 12 Hrs. hrs. day working Vehicle: 01 no. driver.  For 24 Hrs. /day working Vehicle: 02 nos. separate Drivers on rotation basis in day & night.

11. Driver should have minimum 5 years of experience and age should more than 25 years.

12. Contractor shall supervise delivery of serv ices and co-ordinate with Employer's admin representative on a daily basis for smooth function ing of its transport services, maintaining shift log book, shift schedule, proper records of vehicles, gate pass formalities and Statutory compliances and for all kind of support.

13. Contractor shall ensure on-time arrivals of Em ployer's employee and shall establish a travel management system to en sure that the fleet is well kept an d its statutory compliance fulfilled while utilizing the fleet to its optimal capacity.

14. Contractor must engage drivers with a proven performance track record and with no criminal record. The drivers must ensure proper behavi or and maintain approp riate dress standards. Employer shall have the unquestionable right to re quest the Contractor to replace any staff whose performance, in its opinion, is found unsatisfactory, especially while performing duties for Employer.

15. Drivers shall not pick up any unauthorized passenger while performing duties for Employer.

16. Operation and function of vehicl e and drivers shall be governed by Motor Vehicles Act/Motor Vehicles Rules and these shall be the responsibility of the Contra ctor. The vehicle must be Taxi Passing (Commercial vehicle) only.

17. All expenses incurred towards fuel, oil & lubricants, salaries of drivers, vehicle maintenance, insurance charges, RTO Tax, PUC charges, municipal taxes, licens e fees, registration charges and other charges are in the scope of the Contractor.

18. The chargeable KMs will be included from garage to garage up to 10 KMs only (i.e. a distance of up to 5 KMs between the garage to first pickup point or last drop point, is chargeable).

19. The base rate of diesel for monthly hiring charges and extra KM charges shall be Rs.95/liter.

20. The unit rates (charges for monthly hiring and extra KM) shall remain firm du ring the tenure of the Contract period, except for revision in HSD price & RTO tax.
