Mckinlay Shire Council Request for Tender Yard Maintenance Services

McKinlay Shire Council (‘Council’) invites tenders from suitably qualified tenderers for the provision of lawn mowing and associated yard maintenance services for Council properties on a fixed service schedules. This tender is for a fixed schedule of lawn mowing services at nominated Council properties and other specified locations. Tenderers are required to submit pricing and information for the services described in the Scope and Response Schedules.

During the Term, Council may also request additional lawn mowing, yard maintenance or related works by mutual agreement between Council and the successful Tenderer.

Council intends for the contract to commence on 1 November 2026 and end on 30 October 2027 (‘Term’).

The Principal may extend the Term, at its discretion, for a further 12 months by giving written notice to the successful Tenderer.

The required services and service frequencies are further described in Part 5 – Yard Maintenance Tender - Response Schedules.

Please note Tenderers must be able to provide the fixed lawn mowing services for the nominated properties and schedules, unless otherwise agreed by Council.

The successful Tenderer will be required to enter into a contract with Council for the provision of the fixed lawn mowing and associated yard maintenance services described in this Request for Tender, including the properties, frequencies and pricing schedules set out in the Response Schedules and Part 4 – Standard TCs – yard Maintenance Services

The contract will apply to the fixed service schedule and nominated properties, with payment to be made in accordance with the accepted pricing and agreed service requirements. Council may request additional lawn mowing, yard maintenance or related works during the Term where those works are agreed in writing between Council and the successful Tenderer.

Scope of Services

1.1 The scope shall include but is not limited to labour by a licensed and experienced person(s) related to the provision of labour, plant and equipment for total maintenance of lawns inclusive of mowing, whipper snipping, pruning, weeding and poisoning as per the directive given for each property.

Yard maintenance will be required at Council Residences, Commonwealth Home Support Program (CHSP) Client Residences, McIntyre Park and Father Bill Busuttin Community Centre as directed by Council Staff in the Julia Creek Township.

Please note: No poisoning permitted unless agreed to in writing by Council.

1.2 Suppliers and their Personnel are to undergo a national criminal history record check and must be renewed every three (3) years as required under the CHSP Commonwealth Home Support Program.

1.3 Suppliers and their Personnel are to adhere to Associated Provider requirements under the Aged Care Act 2024 and as outlined in Associated Provider Schedule (Response Schedule 5)

1.4 Lawns are to be mowed every fortnight in summer and every three (3) weeks in winter.

Please note: Days scheduled need to be consistent and are to be agreed to with the CHSP Co-Ordinator. Forms are to be completed and submitted upon completion of service

1.5 Unless otherwise directed by Council, copies of the following policies/licences for the Supplier and each member of the Supplier’s Personnel (where applicable) are to be provided to Council prior to engagement:

Pricing Structure:

Fr Bill Busuttin Centre/McIntyre Park - monthly fee taking into consideration twice per fortnight in summer months, once every three weeks in winter months;

CHSP Lawn Mowing - per visit fee taking into consideration twice per fortnight in summer months, once every three weeks in winter months;

Council Housing (as required by Council) - per visit fee for 'Large Yard' 200 square metres and 'Small Yard' 200 square metres, dependant on scale/regularity of services required

Other Council facilities (as required by Council) - pricing negotiation per job dependant on scale/regularity of services required
