Details
The United Nations Office at Nairobi (UNON), on behalf of the United Nations Environment Programme (UNEP), seeks to establish non-exclusive contract(s) with qualified hotels for the provision of dependable, efficient, and cost-effective conference services in Kinshasa - Democratic Republic of Congo (DRC), for a period of up to three (3) years.
UNEP is the leading global environmental authority within the United Nations system, providing leadership, fostering partnerships, and promoting science-based policies and actions to address environmental challenges and support sustainable development. In carrying out its mandate, UNEP regularly convenes regional and national meetings, workshops, consultations, capacity-building programmes, technical training sessions, and stakeholder engagement events involving government representatives, development partners, civil society, academia, and the private sector.
To facilitate the successful delivery of these events, UNEP requires access to high-quality conference facilities and related services that meet United Nations operational standards. The establishment of non-exclusive contracts with qualified hotels in Kinshasa - Democratic Republic of Congo(DRC) will provide a flexible and reliable mechanism for organizing conferences and meetings of varying sizes while ensuring efficiency, value for money, and consistent service delivery throughout the contract period.
The Scope of Required Services shall include:
1. Venue and Facilities
Air-conditioned with accessibility for persons with disabilities, adequate emergency exits and safety measures, a reliable power supply with backup generator, breakout rooms, and capacity to accommodate varying event sizes (e.g. 50–150 participants).
2.Catering Services:
Buffet lunches (vegetarian/non-vegetarian, Halal meat), coffee breaks with snacks, and drinking water stations (glassware only, no plastic).
3.Audio-Visual and Interpretation Services: Interpretation booths, PA system, high-definition projectors, screens, microphones, laptops, and dedicated high-speed internet. Where required: simultaneous interpretation equipment (booths, receivers, and headsets); photography and videography support; and extension cables with sufficient power outlets.
4.Technical Support:
On-site technicians (bilingual, AV, and backup/support).
5.Logistics Support:
Accommodation (as required), local transportation, and meeting materials (writing pads, pens, flip charts, markers).
Interested vendors are required to express their interest via the link in UNGM provided at the Vendor Response section of the EOI or via email to [contact details removed] keeping in copy [contact details removed].
Interested vendors may undergo additional security suitability assessments conducted by the United Nations Department of Safety and Security (UNDSS). The complete details of the requirement will be provided in the tender documents that will be issued to bidders after this request for EOI is closed.

UNON reserves the right to change or cancel the requirement at any time during the EOI and/or solicitation process. Vendors that are deemed qualified upon completion of an objective evaluation of their EOI submission will receive the final tender solicitation documents.
